This notice explains how the Luxembourg Toastmasters Communication Team handles personal data on toastmasters.lu and in the visit request form.
Who is responsible

What we collect
When you send the visit request form: your full name, email address, the club you chose or a request for help choosing, and, if you provide them, your preferred reply language, preferred time and message. The form also records the page language and, when you arrived through a link with campaign tags, those tags (for example utm_source). Our visit-request form has no IP-address question. Hosting and form providers may process technical connection data to deliver and secure their services. If you accept cookies, Google Analytics and Google Ads measure visits and ad results; if you reject them, these Google services are not loaded.
Why we use it
To arrange your visit to a Toastmasters club: we share your name, email, preferred reply language, preferred time and message only with the current officers of the club you chose (or the clubs we suggest). We follow up until your visit is confirmed or you ask us to stop. Aggregate counts, without names, help us judge whether our communication and advertising work.
Legal basis
Taking steps at your request (arranging the visit you ask for) and, for measurement cookies, your consent, which you can withdraw at any time through Cookie settings at the bottom of each page.
Who processes it for us
Tally stores the form submissions in Thilo Kreibich's account. Notifications are delivered to his Gmail mailbox. Restricted local exports may be used to manage requests. OVHcloud hosts the website. Google Analytics measures site use only after cookie consent; advertising measurement will be enabled only after its setup and checks. Club officers receive only the details needed to arrange a visit.
How long we keep it
We delete your request 12 months after the request is closed. Aggregate statistics without personal data may be kept longer.
Your rights
You can ask for access, correction or deletion of your data, object to its use, or withdraw consent, by writing to contact@toastmasters.lu. You can also complain to the Luxembourg data protection authority (CNPD) or the authority in your country.
Cookies
Without your consent, this site stores only your cookie choice in your browser. With your consent, Google may set cookies to measure visits and the results of our advertising. We do not use advertising cookies for personalised advertising or remarketing.
